Omatia is a point-of-sale app for small shops, made by Zeila Tech ("we", "us"). This policy explains what information the Omatia app and website collect, why, who we share it with, and the choices you have. It applies to the Omatia apps for Android and iOS, the API at api.omatia.com, and omatia.com.
In short: we collect what's needed to run your shop's account, we don't sell your data, we don't show ads, and you can delete your account at any time.
1. Who this applies to
- Shop owners and managers who create and use an Omatia account ("you").
- Your customers. When you record a customer in Omatia (for example their name and phone number for a credit sale), you decide what to record and why. For that information we act on your behalf, as a processor, and you are responsible for having a lawful reason to record it and for telling your customers where needed.
2. Information we collect
Information you give us
- Account details: your name, email address, password (stored only as a secure hash) and role (owner or manager).
- Shop details: shop name, phone and WhatsApp numbers, address, logo, payment details you choose to show on receipts (such as a mobile money or bank account number), and social media handles.
- Business records: products and their photos, prices and stock levels; sales, invoices, credit sales and receipts; expenses; debts and repayments; and staff names.
- Your customers' details: such as name, phone number, email, address and what they owe.
Information collected automatically
- App usage (analytics): which features are used, for example that a sale was completed or a receipt was shared, with your account ID. We use this to understand and improve the app. It does not include your customers' details.
- Crash and performance data: error reports, device model, operating system and app version, linked to your account and shop IDs, so we can find and fix problems.
- Device information: an install ID the app generates to tell your phones apart (for example for receipt numbering), and the name of the device you sign in from.
- Server logs: IP address and request details, kept briefly for security and to prevent abuse (for example rate limiting).
Device permissions
- Camera: to take product photos and scan barcodes. Only used when you choose to.
- Photos: to choose a product photo or logo, and to save images (such as status images) to your gallery when you ask.
We do not access your contacts, location, microphone or messages. When you share a receipt on WhatsApp, the app hands the receipt to WhatsApp; you choose who it is sent to, and WhatsApp's own privacy policy applies to the message.
3. How we use information
- To provide the app: keep your shop's records, sync them between your devices, and produce receipts, invoices, reports and price lists.
- To secure your account: sign-in, email verification codes, password resets and abuse prevention.
- To send you service emails, such as verification codes and account notices. We don't send marketing emails unless you opt in.
- To fix problems and improve the app, using crash reports and usage analytics.
- To meet legal obligations and enforce our terms.
We do not sell personal information, use it for advertising, or share it with data brokers. The app contains no ads.
4. Who we share it with
We use trusted service providers to run Omatia. They process data only on our instructions and only to provide their service to us:
| Provider | What for |
|---|---|
| Heroku (Salesforce) | Runs the Omatia servers (EU region). |
| Supabase | Hosts the database. |
| Cloudflare | Stores product photos and logos (R2), and protects and delivers our websites. |
| Brevo | Sends service emails such as verification codes. |
| Mixpanel | Usage analytics (EU data residency). |
| Sentry | Crash and error reporting. |
Within your shop, information is visible to the people you give access to (managers and staff). We may also disclose information if required by law, to protect the rights and safety of our users or others, or as part of a merger or sale of our business, in which case this policy will continue to apply.
5. Where information is stored
Your data is stored on servers operated by the providers above, which may be outside your country (including the European Union and the United States). We rely on these providers' security measures and contractual commitments to protect it.
The app also keeps a copy of your shop's data on your phone so it can work offline. On iPhone this copy is excluded from iCloud backups; on Android, app backups are turned off.
6. Security
Information is encrypted in transit (HTTPS). Passwords are stored as one-way hashes, and sign-in tokens are kept in your phone's secure storage. No system is perfectly secure, but we work to protect your information and will let you know if a breach affects you, as the law requires.
7. How long we keep it
- We keep your account and shop data for as long as your account is open.
- When you delete your account, it is locked straight away and permanently erased after 30 days (see below). We keep only a minimal record that an account was erased and when, with no personal details.
- Crash reports and analytics are kept for the retention periods of Sentry and Mixpanel; when an account is erased we also ask Mixpanel to delete that user's data.
8. Deleting your account
You can delete your account at any time:
- In the app: Profile → Account → Delete account.
- On the web: omatia.com/account/delete, no app needed.
A shop owner's request covers the whole shop: sales, customers, products, photos and staff logins. A manager's request covers only their own login. You are signed out everywhere immediately. Logging back in within 30 days cancels the deletion; after 30 days everything is permanently erased.
9. Your rights
Depending on where you live, you may have the right to access the personal information we hold about you, to have it corrected or deleted, to object to or restrict certain uses, and to complain to your local data protection authority. Much of your information can be viewed and edited directly in the app. For anything else, email us at [email protected].
If you are a customer of a shop that uses Omatia and want to access or remove your details, please contact that shop first, since they control those records. We will help them respond.
10. Children
Omatia is a business tool for adults. It is not directed at children under 18, and we do not knowingly collect information from them. If you believe a child has given us personal information, contact us and we will delete it.
11. Changes to this policy
We may update this policy as Omatia changes. We'll post the new version here with a new "Last updated" date, and tell you in the app or by email if the changes are significant.
